The Check-In Kiosk Station allows participants scheduled for a test to check themselves in at a dedicated computer or tablet setup in the reception area at your testing facility. When a participant arrives at the testing facility they can sign-in at a kiosk using their email, or other configured participant sign-in strategies. The events that they are scheduled for display for selection and the selected event's consent agreement is presented, if enabled. The participant is then checked-in and ready to participate in the test.

The Check-in Kiosk is location based and works with both subjects from the recruiting database and imported participants for an event. The scripts and screens that display at the Check-In Kiosk can be customized and additional configuration options can be enabled by a Company Administrator or Field Site Manager, as desired. A new Check-In History report is also available.


NOTE – Although the Check-In Kiosk is primarily intended for Assisted Check-In events, it can also be used with Self Check-In if you wish to have participants check in from the reception area first before proceeding to their testing room to continue with the sensory test. If you plan to use Check-In Kiosks for Self Check-In events, it can not be mixed with Assisted Check-In events simultaneously scheduled because subjects scheduled specifically for the Assisted Check-In event could potentially check-in for and select a scheduled Self Check-In event. Therefore, if there are any Assisted Check-In events actively scheduled the kiosk will prioritize only Assisted Check-In events at the Check-In Kiosks.

Set Up a Check-In Kiosk Station

Check-In Kiosk Stations are set up in the same way that onsite stations are, using a unique activation code generated by RedJade and assigned to the Check-In Kiosk room of each location. The activation code for a Check-In Kiosk room at each location never changes.


When activating in a browser (Chrome, Safari, Microsoft Edge, Firefox), the activation is saved in the browser's Cookies and Site Data. The kiosk station needs to be activated in the browser by which it will be managed and you must have allow sites to save data on your devise and cookies enabled.


Kiosk Stations may also be activated using the RedJade Booth App (available only for Windows-based computers). The app uses the full screen, inhibits web surfing, has a smaller installation footprint and uses a configuration file, rather than a browser's Cookies and Site Data. If you've previously activated the station in a browser and switch to the RedJade Booth App, you will need to activate it in the booth app. 


NOTE – If you have problems activating a station in your browser, clear browser cookies and site data, and ensure the browser has allow sites to save data on your devise and cookies enabled. Also, if browser cookies and site data are cleared for any reason, you will need to reactivate the station.

To set up a kiosk station in a browser:

  1. From the ADMIN section, select LOCATIONS from the left navigation pane. You can also go to LOCATIONS from the COLLECTION menu.

    NOTE – Only Company Administrators and Field Site Managers can manage Locations.




  2. Click on [EDIT] of the location to activate the kiosk under. Alternatively, click the Rooms # to directly open to the location's Rooms tab.



  3. From the ROOMS tab the Check-in Kiosks room, click on [GET ACTIVATION CODE].



    The activation code displays. Each kiosk station needs to be activated using the code. The code is case-sensitive.



  4. From a kiosk station, go to https://app.redjade.net/surveys, enter the activation code then click on [REGISTER]



  5. Complete the Kiosk Name field, then click on [Activate this station].



  6. The kiosk station is activated. Click on [Finished].



  7. Repeat steps 4-6, using the same code to activate all kiosk stations.


  8. Review the activated kiosk stations from the Check-in Kiosks room under the location's ROOMS tab. Additionally, you can edit a kiosk station name by clicking on the pencil icon or delete a kiosk station by clicking on the X.




Configure Check-In Kiosk Settings & Options

The scripts and screens that display at the Check-In Kiosk can be customized and additional configuration options can also be enabled, as desired.


NOTE – Only Company Administrators and Field Site Managers can manage Locations.



To configure the settings and options:

  1. From the ADMIN section, select LOCATIONS from the left navigation pane. You can also go to LOCATIONS from the COLLECTION menu.



  2. Click on [EDIT] of the location to configure the kiosk settings for.



  3. Select the DELIVERY tab.

    • Confirm Subject Profiles – Present participants with their profile data to verify/update. The field requirements can be configured under SCRIPTS>Profile Confirm. If a subject from recruiting provides updates, it writes back to their subject profile in recruiting. The profile confirmation data also exports from the Check-In History report.
      • Disabled – Does not display.
      • On Kiosk/Station Sign-In  Either displays during participant check-in at a kiosk, or during station sign-in when the participant check-in is completed through a staff member.
      • On Kiosk Sign-In – Only displays during participant check-in at a kiosk.
      • On Kiosk Sign-Out  Only displays during participant check-out at a kiosk. 
    • Invite to My RedJade – Present subjects recruited to "Participate Once" through a {{campagin_url}} with the option to be sent an Invite to My RedJade email and activate a portal account. The invitation text can be configured under SCRIPTS>Profile Confirm.

      • Disabled – Does not display.
      • On Kiosk/Station Sign-In – Either displays during participant check-in at a kiosk, or during station sign-in when the participant check-in is completed through a staff member.
      • On Kiosk Sign-In – Only displays during participant check-in at a kiosk.
      • On Kiosk Sign-Out – Only displays during participant check-out at a kiosk. 
    • Early Minutes – The number of minutes before their scheduled session time that a participant can check-in at a kiosk for Assisted Check-In events. This only applies to subjects scheduled through recruiting at specific session times.



  4. Select the SCRIPTS tab. The KIOSK CHECK-IN sub-tab displays first. Scripts from the sub-tabs listed below apply to the Check-In Kiosks.

    English language is chosen by default. To change it, choose the desired language from the drop-down list.

    KIOSK CHECK-IN:

    • Kiosk Sign-In – The first screen presented to participants at a kiosk station to sign-in. The {{challenge}} dynamic content auto-inserts the label of the configured Participant Sign-In Strategies, see Participant Sign-In Strategies to customize the label that displays for {{challenge}}.
    • Check-In Success – The final screen presented to participants after check-in is completed. 
    • Check-In Success Restart Delay – The amount of time to wait after a participant checks in before refreshing the page to allow the next participant to check-in.
    • Check-In Failure Restart Delay – The amount of time to wait after a participant fails to check in before refreshing the page to allow the next participant to check-in. 



    KIOSK CHECK-OUT: 

    • Enable Subject Sign Out – Optionally, choose to track when participants are leaving the facility. When enabled, the following screens display.
    • Station "Go Sign Out" Page Text – The final screen presented to participants at the testing station after their test is completed. This replaces the event's Participant End Screen.
    • Kiosk "You successfully signed out" Page Text – The final screen presented to participants after check-out is completed.
    • Go Sign Out Restart Delay – The amount of time to wait after a participant completes their test to wait before refreshing the page to allow the next participant to sign-in. 
    • Signed Out Restart Delay – The amount of time to wait after a participant checks out before refreshing the page to allow the next participant to check-in/out.



    STATION SIGN-IN:



    INVITE TO MY REDJADE:

    • The screen presented to participants when the Invite to My RedJade delivery optionis enabled. The script is followed by response buttons to:
      • Yes, send me an email to sign up
      • No, continue without an account



    PROFILE CONFIRM:

    • The screen presented to participants when the Confirm Subject Profiles delivery optionis enabled. The script is followed by the configured fields:
      WARNING: It is recommended that any fields notated as a *Subject Requirement be set to Required for Profile Confirm. Otherwise, if a field is required in Subject Requirements and configured as Read Only, Hidden, or not Required on Profile Confirm, the Subject record will not be updated when submitting the Profile Confirm form if no data is entered for that field. The Participant record and Check-In History will be updated with all other field data entered for record keeping on the test. 
      • Optional – The field displays but is not required.
      • Read Only – The field can be viewed but not edited.
      • Required – The field is required.
      • Hidden – The field does not display and can not be edited.



  5. Select the PARTICIPANT SIGN-IN tab.

    Participant Sign-In Strategies are the fields from a participant record used to sign-in at the Check-In Kiosk Station and Testing Stations. A secondary field can optionally be configured on the strategy, if you wish to require two data fields for sign-in validation. The data for the strategy fields is carried over from the subject's profile when scheduled through recruiting or for Self Check-In. Otherwise, if the participants are imported or added individually the data for the strategy fields needs to be included with the import. The participant must have data for the fields in order to sign-in at a Check-In Kiosk with the configured strategies, otherwise, the participant must check-in through a staff member.

    WARNING: The default strategies are "Code or Email" to continue supporting existing Self Check-In sign-in methods. Changing the strategies will impact Self Check-In.

    NOTE – A warning message indicating "Selected challenge missing from participants" displays if there are upcoming tests where participants do not have data for the configured strategies.


    ADD CHALLENGE:  Strategy

    • Code or Email (default) The email address or subject code is used to sign-in at stations. When participants check-in through a staff member, the assigned participant code will also work to sign-in at the testing station.

    • Email – Only the email address is used to sign-in at stations.
    • Code – Only the subject code is used to sign-in at kiosk stations.
      WARNING: This option will prevent imported or added participants from check-in at a kiosk. When participants check-in through a staff member, the assigned participant code will then work to sign-in at the testing station. It is recommended that you have two or more challenges added if using Code or External ID only.
    • External Identifier – The External ID as entered from the participant record is used to sign-in at stations.
      WARNING: This option will prevent subjects from recruiting from check-in at a kiosk or to sign-in to Self Check-in tests. It is recommended that you have two or more challenges added if using Code or External ID only.
    • Full Name – The Full Name as entered from the participant record is used to sign-in at stations. A Secondary Challenge is required when Full Name is used.

    Secondary Challenge:
    • None – Only the primary challenge selected above.
    • Date of Birth – The Date of Birth as entered from the participant record must also be entered to sign-in at stations.
    • Phone (any) – Any of the three phone number fields as entered from the participant record must also be entered to sign-in at stations.



    Optionally, the labels that display for {{challenge}} and above the entry fields on the Station Sign-in Screens can be customized.

    English language is chosen by default. To change it, choose the desired language from the drop-down list.

    • Alternate Identities – The text to display if the participant can choose to use additional challenges configured.
    • Email Address  The text to display to request the participant to enter their email address.
    • Code  The text to display to request the participant to enter their subject code.
    • Code or E-Mail  The text to display to request the participant to enter either their subject code or email address.
    • External Id  The text to display to request the participant to enter their external id.
    • Full Name  The text to display to request the participant to enter full name.
    • Date of Birth  The text to display to request the participant to enter birth date.
    • Phone Number  The text to display to request the participant to enter any of their phone numbers.


  6. Additionally, the following settings and options can be configured for each event.

    From the Location step of the event setup wizard, when Using RedJade to Recruit is selected specify "Who can participate?":

    • Scheduled (default) – Subjects must have a "Scheduled" Outcome from RedJade Recruiting or Participants imported/added to the event.
    • Scheduled or Qualified  Allows subjects with an "Alternate" or "Qualified Accepted" Outcome from RedJade Recruiting in addition to "Scheduled" Outcome or Participants imported/added to the event.

Participant Check-In at Kiosks

When a participant arrives at the testing facility they can check-in from the kiosk by signing in using their email, or other configured Participant Sign-In Strategies. The events that they are scheduled for will display for selection and the event's consent agreement is presented, if enabled. The participant is then checked-in and ready to participate in the test.

NOTE – If an event has Multiple Participant Groups set up, the following rules apply: 
  • If a Demographic is assigned to the participant group and the participant has a matching demographic assignment, participants are automatically assigned to that group. 
  • When a participant group or participant does not have the demographic assigned, the default behavior will be to alternate between all participant groups, weighted by the percent of rows used, to balance block row distributions evenly across all groups. 
  • Alternatively, participants can check-in through a staff member if some other custom method of distributing between participant groups is desired (e.g., by session, by choice/request, etc.).

To check-in through a kiosk:

  1. The Kiosk Sign-In screen displays first. Participants enter their email or subject code from recruiting profile (the default sign-in strategy).

    Click [Sign In] to continue.

    NOTE – Participants can click the "Sign-Out" button to exist the Check-In Kiosk at anytime. If a participant leaves the kiosk station without completing check-in or sign-out, they will be automatically signed out after 3-minutes of inactivity.



  2. The Profile Confirm screen displays, if enabled On Kiosk Sign-In. Otherwise, this screen is skipped.


    Click [Everything looks correct] to continue.


  3. The Invite to My RedJade screen displays, if enabled On Kiosk Sign-In. Otherwise, this screen is skipped. 


    Click either [Yes, send me an email to sign up] or [No, continue without an account] to continue.


  4. The Event Select screen displays to inform the participant of which event they are going to check in for.

    NOTE – The default event name format that displays on the Event Select screen is "Project Name: Test Name (PID: #####)". Alternatively, if a Consumer Visible Name is entered for the test, that will display instead. You can enter the Consumer Visible Name when creating the test or by editing the test. See Edit Test Type, Name, or Consumer Visible Name for further details.



    Click the button for the event to continue.


  5. The Consent Agreement screen displays for the selected event, if enabled on the scheduled test. Otherwise, this screen is skipped. See Edit Test Instructions for details about enabling the consent agreement.


    Click [I Agree] to continue with check-in.


    Otherwise, if [I Decline] is clicked the consent declined screen displays indicating the participant will not be able to participate in the test.


    Click Return to Participant Sign In or the Sign Out button to return to the Kiosk Sign-In screen. Otherwise, the page will auto-reload after 2 minutes and returns to the Kiosk Sign-In screen.


    NOTE – If the participant reconsiders their declined consent, they can still Sign-In from the Testing Station where the Consent Agreement will be presented again. They will not be able to continue with the test until they agree to the consent.


  6. The Check-In Success screen displays indicating that check-in has been completed and they are ready to participate in the test.


    When the Restart Delay time is reached, the page auto-reloads and returns to the Kiosk Sign-In screen.




Participant Sign-In at Stations

Once participants have checked-in, they will proceed to the testing room to continue with the test. They can sign-in to the station using their email, or other configured Participant Sign-In Strategies. The participant code assigned at check-in through a staff member can also be used to sign-in at the testing station.

NOTE – When the default Code or Email strategy is used, the following rules apply based on the event's check-in type:

  • Assisted Check-In – Participants will continue to be able to sign in using their assigned Participant Code (e.g., 1001, 1002, etc.). Additionally, they can also sign in with the Email on their Participant record.
  • Self Check-In – Subjects will continue to be able to sign in using their Email or Subject Code.



To sign-in at a station:

  1. The Station Sign-In screen displays first. Participants enter their email or subject code from recruiting profile (the default sign-in strategy).

    Additionally, participants can also enter the Participant Code assigned at check-in through a staff member.

    Click [Sign In] to continue.


  2. The Participant Start screen displays and the participant can begin the test.

    NOTE – The Profile Confirmation and/or Invite to My RedJade screens will display at the station, if enabled On Kiosk/Station Sign-In and it was not previously completed at the Check-In Kiosk. Likewise, the Consent Agreement screen will display for the selected event, if enabled on the scheduled test and it was not previously completed at the Check-In Kiosk. Otherwise, these screens are skipped at the testing stations.



    Click [Begin] to continue.


  3. Once all tests are completed, the Station "Go Sign Out" screen displays, if Check-Out is enabled. Otherwise, the event's Participant End screen displays.


    When the Restart Delay time is reached, the page auto-reloads and returns to the Station Sign-In screen.




Participant Check-Out at Kiosks

Optionally, Enable Subject Sign Out to track participants leaving the testing facility after their test has been completed. Additional configuration options can be enabled during check-out. Alternatively, participant check-out can be completed through a staff member.

To check-out through a kiosk:

  1. The Kiosk Sign-In screen displays first. Participants enter their email or subject code from recruiting profile (the default sign-in strategy).

    Alternatively, participants can enter the Participant Code assigned at check-in through a staff member.

    Click [Sign In] to continue.


    If the test has not been completed, sign-in fails with an error message indicating You have not completed your tests today. See the front desk for assistance. The participant will either need to complete the test or see a staff member to process their check-out.



  2. The Profile Confirm screen displays, if enabled On Kiosk Sign-Out. Otherwise, this screen is skipped.


    Click [Everything looks correct] to continue.


  3. The Invite to My RedJade screen displays, if enabled On Kiosk Sign-Out. Otherwise, this screen is skipped. 


    Click either [Yes, send me an email to sign up] or [No, continue without an account] to continue.

    NOTE – If the participant is checking-out after pick-up for an iHUT (Online Test), the Consent Agreement screen displays next for the selected event, if enabled on the scheduled test. Otherwise, this screen is skipped at check-out for Onsite tests since it would have already been completed.


  4. The Kiosk "You successfully signed out" Page Text screen displays indicating that check-out has been completed and the participant can exit the testing facility.


    When the Restart Delay time is reached, the page auto-reloads and returns to the Kiosk Sign-In screen.




Check-In History

The Check-In History page provides a report of all the check-in activities and participant status. The history can be downloaded to an Excel file, where in addition to their statuses also includes the participant profile data and compensation amount for the test completed. The Excel file can be formatted and uploaded to third-party external payment applications, as needed.



To open check-in history:

  1. From COLLECTION, select CHECK-IN HISTORY from the left navigation pane.



  2. The Check-In History page opens and defaults to the events of Today. Under the Visits section, all participants that have checked-in along with their current status are listed.

    Optionally, under the Filter section you can search for an individual participants or filter by testing dates. Click the Show Additional Outcomes button to include participants that were not checked in nor assigned a participant code  but were Assigned an Outcome.



  3. Click the download icon to download the history report to Excel.


    The Excel file contains the participant profile data, including updates made through the Profile Confirm, their current check-in status and compensation amount for the test completed.

    NOTE – When Custom Filters are added to the Check-In History page view, only records that are actively displayed will be included in the Excel file.
