When Assisted Check-In is selected to be used for an event, participants must first check-in before they can sign-in to a station and begin testing. A staff member will check in participants as they arrive and provide them with a Participant Code to sign-in to the test. Participants must either be imported to the test or scheduled through Recruiting in RedJade. See Add Participants for steps on importing participants to the test and Check-In Methods for further information.

Open Assisted Check-In Application


To open the check-in app:

  1. From the COLLECTION section, the DASHBOARD opens by default and shows the events scheduled for today. Otherwise, select AGENDA from the left navigation pane to scroll to the test date you want to review



  2. Next to the testing room to view, click on [CHECK IN].



  3. The Check-In list opens with a filter applied for your selected event. Additional filters can be applied, as desired.




Check In a Participant


To check-in a participant:

  1. In the Search field, enter a name or partial name to locate a participant. Alternatively, scroll through the list and locate the participant. Additional filters can be applied, as desired.




  2. Click on [CHECK IN].



    If the participant is scheduled for multiple event, the select test screen displays. Otherwise, this screen is skipped.

  3. The next Participant Code is automatically assigned. Click the drop-down to assign a different code or group.

    NOTE – If an event has Multiple Participant Groups set up, the following rules apply:
    • If a Demographic is assigned to the participant group and the participant has a matching demographic assignment, participants are automatically assigned to that group.
    • Otherwise, when a participant group or participant does not have the demographic assigned the participant group must selected from the drop-down list.
    • Assigned Demographics are listed in the left sidebar for reference.



    Review the check-in information, then click on [SUBMIT].


  4. The assigned Participant Code displays in the Check-In list view and the Status checkmark displays green, indicating the participant is checked in. Optionally, hover-over the Status checkmark to view additional details.



  5. Repeat steps 1-3 to check in each participant as they arrive.


  6. To review or update a participant's check-in, select View/Edit from the [CHECK-IN] drop-down menu.





Revert a Participant's Check-In


To undo a participant's check-in:

  1. From the Check-In list, locate the participant and select Revert Check-In from the [CHECK-IN] drop-down menu.



  2. Click on [SUBMIT] to confirm.




  3. The assigned Participant Code and Status checkmark clears from the Check-In list view, indicating the participant is no longer checked in.




Check-Out a Participant

Optionally, Enable Subject Sign Out to track participants leaving the testing facility after their test has been completed.

To check-out a participant:

  1. From the Check-In list, locate the participant and click on [CHECK-OUT].

    NOTE – If the test has not been completed the participant can not Check-Out and an error will display. The Status checkmark will display blue indicating the test is completed. 



  2. The button label changes to [CHECK-IN], becomes disabled in the Check-In list view and the Status checkmark displays black, indicating the participant is checked out. Optionally, hover-over the Status checkmark to view additional details.



  3. Repeat steps 1-2 to check out each participant as they complete testing.



Assign an Outcome

You can assign alternative outcomes to track the disposition of a participant's visit, for example if they  were a no show, did not complete the test or were dismissed for various reasons. The participant does not need to be checked in nor assigned a participant code to assign an outcome. The assigned status outcome is recorded as part of the participant's Check-In History.

To assign an alternative outcome:

  1. From the Check-In list, locate the participant and select Assign Status from the [CHECK-IN] drop-down menu.



  2. Select an Outcome from the drop-down list. Optionally, enter any relevant Outcome Notes for record keeping.


    • Consent declined (yellow checkmark)  The test's Consent Agreement was declined and the participant did not participate in the test.
    • Rescreen fail (orange checkmark The participant was re-screened at the testing facility and no longer qualifies to participate in the test.
    • Dishonorable unpaid discharge (purple checkmark The participant was dismissed from the test for adverse conduct and was not paid for their participation.
    • Dishonorable paid discharge (purple checkmark The participant was dismissed from the test for adverse conduct and was paid for their participation. 
    • Honorable paid discharge (purple checkmark The participant was paid & excused from the test, typically due to over-recruit.
    • No show (red checkmark The participant did not show for their scheduled session time.
    • Survey completed (blue checkmark) – The participant successfully completed the test.
    • Signed out (black checkmark) – The participant successfully checked out after completing the test.
    • Check-in reverted (grey checkmark) – The participant was initially checked in for the test, then later undone by a staff member.


  3. Click on [SUBMIT].


  4. The Status checkmark is updated, indicating the participant's assigned outcome. Optionally, hover-over the Status checkmark to view additional details.
