When a RedJade licensee accepts a bid the field site manager at the member facility can schedule the test, review the design block, and add participants in preparation. At test time the facility manager or collection manager can check in participants and use the Serving Console in the RedJade® Suite to manage the test.

Schedule Reservations
If the RedJade licensee accepts the bid, the Schedule Reservations step becomes available on the left navigation pane. A test can only be scheduled within the specified window. Days outside this window are disabled from selection. If additional days are needed, contact the RedJade licensee and request the dates be extended.
To schedule reservations:
- From COLLECTION, select HOSTING REQUESTS.
- From the Hosting Requests form, click on [MANAGE] next to the test you want to work with.
The menu changes to a Hosting Requests workflow, showing status of each step. - Select Schedule Reservations to view the calendar. The test can only be scheduled on the specified window of days; days outside this window are disabled from selection.
NOTE – If additional days are needed, contact the RedJade licensee and request the dates be extended. See Create an Offsite Test for a RedJade Member Facility to edit the existing bid. - Click on the desired test date. On the Create Reservation window, define the time range and rooms to be used, then click on [SUBMIT].
- Click on a calendar date again to add all date and room reservations.
The Schedule Reservations step displays a green check mark indicating that scheduling is complete and the calendar displays all scheduled days. Designs are available upon approval by the project manager. - To make any changes, select the scheduled test, complete the edits in the Edit Reservation window, then click on [SUBMIT] when done.
Review the Design Block
Once the design has been created by the RedJade licensee, you can review the Design Block.
To review the Design Block:
- To access the designs, select DESIGN BLOCK from the left navigation pane.
- Review the design block.
- To download a design, click on [EXPORT BLOCK].
- To download blinding codes, click on [EXPORT BLINDING CODES].
Manage Participants
RedJade provides two methods for managing participants. With "Assisted Check-In" participants for a test are added ahead of a test and checked in upon arrival. With "No Check-In" participants are created upon taking a survey. If you are using Assisted Check-In for a test you can add participants individually or by importing a spreadsheet. When you import a spreadsheet the system recognizes the unique identifier, typically an email, external id or name field, and imports any additional fields comprising demographic data. Any demographic data added can be used in analysis by the RedJade licensee. You can also add demographic data for participants at a later time. You can upload files up to 100MB in size.
NOTE – "No Check-In" is the default option for managing participants. If you intend to use No Check-In you can skip this section. |

To manage participants:
- From COLLECTION, select HOSTING REQUESTS.
- From the Hosting Requests form, click on [MANAGE] next to the test you want to work with.
The menu changes to a Hosting Requests workflow, showing status of each step. - From the COLLECTION section, select Create Participants.
- On the Participants form, [NO CHECK-IN] is the default option. Click on [ASSISTED CHECK-IN] to enable adding participants.
The form changes to allow for adding participant information.
You have two options to add participants, by adding each individually or by importing a spreadsheet.
To import a spreadsheet: - Select IMPORT PARTICIPANTS from the [...] drop-down menu.
- Click on [BROWSE FOR YOUR FILE] to locate the file from your computer.
The Column Reference Guide at the bottom of the page provides details on how to label the column headers in your file:NOTES: - The system allows you to import .xlsx, .xls or .cvs file types up to 100MB in size.
- The file should include at least one identifying field (Name, Email or External ID) to identify your participants.
- If a file is re-imported to update participant's demographic data, the Name, Email or External ID fields are used to match on the existing participants.
- When re-importing a file, the system matches on Email or External ID by default. Optionally you can choose to match on Name instead.
- Any column header that is not a valid Field Header Alias will be considered a Demographic.
- A preview displays of your selected file. Any exceptions in your file will be presented here, prior to submitting the import. You can then update and re-import the file, as needed.
The Column Summaries list the columns that will import and whether imported as a Field or
The Participants summary lists the rows of participants that will import and whether they Match Existing participants. Any participants with invalid data will be indicated here. - Select the desired import options, then click on [SUBMIT].Create New DemographicsBy selecting this option, demographics missing from the test will be created. This option is selected by default.Only DemographicsBy selecting this option, only demographics will be addressed for matched subjects. Fields will not be touched.Delete Existing DemographicsBy selecting this option, demographics not contained in the file will be removed for matched subjects.Skip Duplicate Identity MatchesBy selecting this option, import will ignore all but the first instance of rows with duplicate identities (e-mail, external id).
- The status displays as Pending while the import is processing.
The status changes to Import Success when completed. - Click on [BACK TO WIZARD].
The spreadsheet participants are added to the list. Participant's demographics can be viewed by clicking the (i) icon or on [EDIT] from each row.
To add participants individually: - Click on [+ADD PARTICIPANT].
- Complete the Name field. Optionally, complete any additional fields. Click on [SUBMIT].
The participant is added. Repeat steps 11-12 for all participants to add manually.
Check In Participants
When Assisted Check-In is selected to be used for an event, participants must first check-in before they can sign-in to a station and begin testing. A staff member will check in participants as they arrive and provide them with a Participant Code to sign-in to the test. Participants must be imported to the test, see Manage Participants for steps on importing participants to the test and Check-In Methods for further information.
NOTE – "No Check-In" is the default option for managing participants. If you intend to use No Check-In you can skip this section. |
To check in participants:
- From the COLLECTION section, the DASHBOARD opens by default and shows the events scheduled for today. Otherwise, select AGENDA from the left navigation pane to scroll to the test date you want to review.
- Next to the testing room to view, click on [CHECK IN].
- The Check-In list opens with a filter applied for your selected event. Additional filters can be applied, as desired.
- In the Search field, enter a name or partial name to locate a participant. Alternatively, scroll through the list and locate the participant. Additional filters can be applied, as desired.
- Click on [CHECK IN].
If the participant is scheduled for multiple event, the select test screen displays. Otherwise, this screen is skipped.SEE ALSO – Simultaneous Testing - Participants Select Multiple Tests to Take at the Same Time for additional details. - The next Participant Code is automatically assigned. Click the drop-down to assign a different code or group.
NOTE – If an event has Multiple Participant Groups set up, the following rules apply: - If a Demographic is assigned to the participant group and the participant has a matching demographic assignment, participants are automatically assigned to that group.
- Otherwise, when a participant group or participant does not have the demographic assigned the participant group must selected from the drop-down list.
- Assigned Demographics are listed in the left sidebar for reference.
Review the check-in information, then click on [SUBMIT]. - The assigned Participant Code displays in the Check-In list view and the Status checkmark displays green, indicating the participant is checked in. Optionally, hover-over the Status checkmark to view additional details.
- Repeat steps 4-7 to check in each participant as they arrive.
- To review or update a participant's check-in, select View/Edit from the [CHECK-IN] drop-down menu.
Review Serving Details
The serving console allows you to manage a test's serving activities. Users log in to the Serving Console from their station to administer or monitor a test.
To review serving details:
- From COLLECTION, select AGENDA and scroll to the test date you want to review. If the test is today, it will show on the Dashboard, as well.
- Next to the testing room you wish to view, click on [SERVING CONSOLE].
- If you have not previously selected stations to monitor for this testing room, you will be prompted to do so. Click to open the Serving Console Settings window.
- Select the Room to view from the drop-down menu, select the individual stations to view or click on [SELECT ALL].
- Click on [SAVE].
The stations are added. You can now use the serving console to manage the test serving activities. - Click on the Settings icon to add, remove or manage the Serving Console settings.
- Click on a tile and drag to re-order tiles.
- Use the mouse cursor and hover over the booth tile. The tile flips to reveal additional options. See Abandon Booth and Skip Sample for further details.
- Optionally, click on [LAUNCH IN KIOSK MODE] to view the serving console in full screen mode.
