Subjects in RedJade are added and managed by Recruiting Managers and Recruiters. Subjects can be created individually or you can import a list of subjects from an Excel file. You can import files up to 16MB in size.

Before importing subjects, ensure that the data is thoroughly cleaned, validated and entered correctly using the proper format:
- Download a copy of the template at the bottom of this article.
- The provided template with the correct column headers is required and must be used, otherwise the import will fail.
- All columns in the Excel template are required, even if no data is entered. Do not delete, reorder, or insert columns.
- Column headers can not be modified.
- Data must be included following your Subject Requirements. Required fields left blank will result in an import error/failing.
- If updating existing subjects, any columns left blank will import/update existing data for that field as blank. You must include any current data you wish to retain when updating existing subjects.
- Code must be unique for each subject within the company. A Code is automatically generated and assigned when one is not specified. The auto-generated Code can be changed or removed as desired.
- First Name is required.
- Last Name is required.
- Email must be unique for each subject within the company and must be in a valid email format, for example: includes an @, no spaces, etc. Emails must be in a lowercase format only..
- Birth Date must be at least the Age of Consent. See also Subject Requirements for further details.
- Preferred Language is required and must be included using a proper language code, for example: en_US for English, de_DE for German. See Supported Languages for a list of codes.
- Country column only supports 2-letter country codes, for example: US for United States, DE for Germany. See https://en.wikipedia.org/wiki/ISO_3166-1_alpha-2 for a complete list of codes by country.
The following are not currently supported using the import process:
- Code does not support periods. You can View and Edit Subjects to manually update each subject after the import is complete.
- Notes can not be imported. You can View and Edit Subjects to manually update each subject after the import is complete.
- Categories can not be imported. You can manually Assign Demographic Categories to a Subject after the import is complete. You can also submit a support request for further assistance with bulk updating category data, if needed.
- Panels can not be assigned. See Panel Management for further details on assigning subjects to panels.
- Households can not be assigned. See Manage Households for further details on assigning subjects to households.
To import subjects:
- From the RECRUITING section, select SUBJECTS from the left navigation pane.
- Click on [...] and select Import Subjects.
- The Import Subjects window opens.
Optionally, choose the Primary Testing Facility (Location) to assign to all the subjects in the file. Check the option to Send invitation for My Portal to imported subjects if you wish in invite subjects to setup an account. See Invite to My RedJade Portal for further details. - Click on [BROWSE FOR FILE] to locate the Excel file from your computer. You can import files up to 16MB in size.
The status displays while uploading and processing the subjects.
The page updates back to the subjects list. The entire import process may take several minutes to complete, you can manually reload the browser to periodically check the subject list and count for completeness. - Once the import is completed, you can search to View and Edit Subjects or Filter Subjects by Created Date to check for newly added subjects. You can also Download Subjects to look over updated data in Excel.
If errors or missing data is encountered review your original file, correct the errors and re-import the file.
