This 18-minute video outlines rescheduling subjects when test dates are changing or cancelled.

Delete the existing reservation on the test calendar to unscheduled all scheduled subjects. When an existing reservation is deleted, the outcome for all scheduled subjects is changed to unscheduled. Before deleting the existing reservation, a Confirmation email for the "Unscheduled" outcome should be configured, so when the reservation is deleted all the scheduled subjects are automatically sent an email notifying them of the cancellation/postponement. When you are ready to re-schedule the test, you can filter the unscheduled subjects into a new campaign:

Below is an outline of the steps, with timepoint notated, covered throughout the video.

Notify/Cancel Scheduled Subjects:

  1. Stop Recruiting

  2. [08:20]  Optionally, download the current Session Fulfillment Report or Scheduled Subjects list for backup/reference.

  3. [08:40]  Alternatively, send email to all from the Candidates>Scheduled tab:

    • Change the page view to 100

    • "Check" (select) all the existing subjects listed on each page

    • Click on [...] and from the drop-down menu select Send Email 

    • Type out the content and click Send Email

  4. [09:00] (recommended) Configure a Confirmation Email for Unscheduled Outcome

  5. [10:00]  Delete the existing Reservation(s)

  6. [10:20]  All Scheduled subjects are move to the Unscheduled tab and a Confirmation Email is sent, if configured.

    • Note that quota counts are also rolled back accordingly

    • View and download the Unscheduled subjects to see their old session time



Reschedule Subjects:

  1. [11:25]  Add the new reservation and sessions to the schedule

  2. [12:00] Create a new campaign on the existing test

  3. [12:10] Copy Existing Campaign and select Copy Quotas, if you have quotas in your original campaign.

  4. [12:42] Under Details>Subject Exclusion Settings reduce or remove all settings accordingly

  5. [12:57]  Under Details>Linked Campaigns, search for and link the original campaign. 
    • [13:04] Choose “Yes” to Exclude subjects not qualified, then modify the Custom Filter in the next step.

  6. [13:10] Under Details>Custom Filter add (or modify) a Campaign Qualification filter to “Include” the original campaign with outcomes "Unscheduled"

  7. [13:55]  Create a new screener, required to pull in quota demographic assignments from the original campaign.
    • [14:20] Use a Questionnaire Timer set to 0 seconds and automatically start and advance, if you have no other applicable questions/content to include.

  8. [15:20] Click Begin Recruiting.

  9. [15:45]  Setup an email blast invitation.



Recruit Additional Subjects:

Depending on your response rate, you may need to either extend the rescheduling campaigns to Alternates and/or reactivate the original campaign to screen/schedule additional new subjects.

 

Invite Alternates to Schedule

  1. [13:30] From the new scheduling campaign, select Details>Custom Filter and modify the existing Campaign Qualification filter to include the "Alternates" outcome.

  2. Modify the email blast schedules and subject counts to include the additional possible subjects, as needed


Reactivate the Original Campaign

  1. From the original campaign, select Quotas and adjust/reduce your quota targets to account for the subjects that were rescheduled

  2. Delete the old email blasts

  3. Setup a new email blast invitation to send out to the additional possible subjects, as needed.

  4. Click Begin Recruiting
